A few weeks back, I had the pleasure of joining Gil Chan on his podcast, Booked Solid Show, for a conversation about hospitality, direct bookings, branding, and the future of the short-term rental industry.
What I enjoyed most about the discussion was that it went far beyond the usual “tips and tricks” often talked about in our industry.
Instead, we explored something much more important:
How independent hosts can build a sustainable short-term rental business that guests genuinely trust and want to return to.
In many ways, the conversation kept coming back to one central idea: understanding the guest is everything.
Over the years, there has been enormous focus on algorithms, automation, dynamic pricing, AI tools, occupancy rates, scaling, and building direct booking websites. All of these things matter. I use technology myself and believe strongly in using the right systems and tools to run a professional business.
But despite all the technology entering the STR space, hospitality remains fundamentally human and at the very foundation of what we do in this business.
And that is still where independent hosts can really shine and stand out.
Direct Bookings Are About More Than Just a Website
One of the things I shared during the podcast was how our own property, in Panama, gradually evolved from around 10% direct bookings to approximately 80% direct bookings over a relatively short period of time.
As our online visibility increased via our direct booking website, SEO, Google Business and wider marketing activity, more guests began searching and finding our property directly through Google search. Repeat bookings and direct inquiries steadily grew.
However, simply building a direct booking website for your vacation rental business is not enough in today’s multi-channel world without also developing your other marketing channels, including social media, email marketing, and solid guest communications.
But before you get to any of that, it’s imperative to carry out market research and competitive analysis in order to understand your ideal guest, what truly differentiates your property and why guests should book with you directly.
Many Airbnb and vacation rental hosts believe:
“If I just build a direct booking website, guests will come.”
What is important to realize is that your website is the “shop window.” It is often the very first impression guests have of your brand and hospitality.
But a successful direct booking, short-term rental website needs a strategy together with a profound understanding that direct bookings themselves are built on something much deeper:
- Trust
- Consistency
- Branding
- Reputation
- Guest experience
- Communication
- Repeat business
- and understanding your ideal guest
Once you have uncovered what will drive your bookings, you’ll be able to curate your website to attract the right guests at the right price.
Understanding Your Ideal Guest Changes Everything
One of the stories I discussed with Gil was about a group of Canadian guests who stayed with us at our short-term rental in Buenaventura, Panama.
At first glance, they appeared to be typical vacation guests.
But after chatting with them and getting to know more about them, we discovered that at least one member of their party was a very knowledgeable bird enthusiast (or “twitcher”) who had specifically chosen Panama and the Buenaventura resort because of the birdlife.
During their visit, they compiled and gifted us a list of all the birds they had spotted during their stay, which totaled around 30 different species.
That single experience completely changed how we approached future guest stays.
We added a bird spotting scope to the property, together with a the Birds of Panama book and a list of the birds that had been seen by us and our guests (which we included in our guest information folder).
It was a simple change, but a meaningful one.
This is a powerful reminder that hospitality is not just about providing a property.
It is about understanding why people are traveling in the first place.
When hosts truly understand guest intent, they can create experiences that feel personal, memorable, and worth talking about.

But independent hosts often have something far more powerful:

- flexibility
- individuality
- authenticity
- local knowledge
- and genuine, heartfelt hospitality
Independent hosts who combine professional systems with authentic hospitality still have a tremendous competitive advantage.
If you pull out all the stops to provide amazing hospitality, guests remember how they felt during a stay.
They remember thoughtful communication.
They remember a friendly host who is genuinely interested in them.
They remember feeling welcomed.
And they remember trust.
Technology can support hospitality beautifully. But it cannot fully replace it.
The Future of Hosting
During my conversation with Gil, we also touched on how AI and automation are rapidly changing the STR landscape.
These tools can absolutely help hosts become more efficient, organized, and professional.
But I believe the hosts who will thrive in the future are those who combine:
- smart systems
- strong branding
- professional operations
- memorable guest experiences
- and genuine hospitality at the heart of their business
AI tools and automation can improve efficiency, but hospitality remains the emotional core of a successful short-term rental and direct booking business.
That balance is where the real opportunity lies, especially for independent hosts willing to think strategically, understand their guests, and build trust over the long term.
Hosts wanting to increase direct bookings should focus on:
- building trust
- improving guest communication
- creating memorable stays
- encouraging repeat bookings
- and developing a strong online brand presence
