Why Every Serious Short-Term Rental Host Eventually Needs a Property Management System

March 1st was the official start of spring in the Northern Hemisphere.  Against all expectations, and despite what my weather app confidently predicted, we had blue skies and 20°C in Portugal. After weeks of relentless rain, it felt like permission to begin again.

So I went outside to face the lawn (that’s me in the photo above!).

There were weeds everywhere and strange growths I didn’t even recognize.

I grabbed a handful of tools – a small spiky tool for the little weeds and a large fork to attack the bigger stubborn ones.

I got down on my hands and knees and set to work.   It was slow and awkward, hard on my back and I could already tell this was going to take hours.

Then my husband appeared and said:

“We have a tool for that!”

Within minutes, I was using a proper weed extractor. Push in. Twist. Lift. Clean removal, roots and all. No hacking. No strain. No half-finished results.

The difference was immediate and the job was completed in no time.

Standing there in the sunshine, it struck me how often short-term rental hosts are doing exactly what I had been doing – not using the right tool for the job.

Do You Have the Right Tools to Manage Your Business?

Ten years ago, when I first started in the vacation rental business, like many independent hosts I managed my bookings manually. At the time I was only listed on Airbnb, so it was perfectly manageable.

But as soon as I added another OTA, Vrbo, things became more complicated.

I juggled bookings through an eclectic mix of Excel spreadsheets, Google Calendar and iCal to sync reservations. I was constantly jumping between OTA dashboards and frantically copying and pasting pre-written guest messages into WhatsApp, often in more than one language.

It required careful attention to make sure everything stayed accurate and running smoothly.

But it worked.

That was until I decided to open up the market to European guests.

I added a third OTA, Booking.com,  along with a niche travel marketplace, Cool Stays, and my own direct booking website.

That’s when everything changed.

I needed a system that brought everything together under one platform and one dashboard where I could see and manage everything in one place.  And was far more efficient that logging into multiple platforms and updating countless spreadsheets.

That’s when I moved to a Property Management System (PMS). And I never looked back.  

Why Should You Invest in a PMS?

Today, in 2026, things are very different from when I started my full-time hosting business in 2021. The short-term rental industry has evolved rapidly, and the tools available to hosts have improved enormously.

Why does this matter? For several reasons:

The short-term rental market is faster and more competitive than ever. Guests expect quick responses, seamless booking experiences, and professional communication. Managing this manually becomes increasingly difficult as your business grows.

Modern PMS systems connect with a wide range of integrated apps and services, including dynamic pricing tools, guest communication platforms, cleaning management software, security systems, and accounting tools.  This allows you to build a much more sophisticated business ecosystem.

Automation saves enormous amounts of time. A PMS can automate guest messages, booking confirmations, calendar synchronization, cleaning schedules, and many routine administrative tasks.

Channel management becomes effortless. Instead of updating availability and pricing manually across multiple OTAs, a PMS synchronizes everything automatically and reduces the risk of double bookings.

Better data and reporting. Many systems provide dashboards and analytics that help hosts understand occupancy, revenue, and performance trends, allowing you to make better business decisions.

Which tool will cut through the weeds the fastest and easiest?

There are now dozens of PMS platforms available, and not all of them are created equal. Some offer deeper integrations, stronger automation, and better reporting than others.

Before committing to a platform, take the time to create a checklist and do some research. Once you’ve narrowed your options down to one or two systems, sign up for a trial and test the platform yourself.

Ask yourself:

1. What do I want the system to do?

2. Which tasks do I want to automate? (guest messaging, calendar syncing, cleaning schedules, etc.)

3. What reports or insights do I need about my bookings and revenue?

4. What integrations are important to me? (dynamic pricing tools, smart locks, accounting software, etc.)

5. Does the platform support a direct booking website?

6. Does the payment gateway work in my country?

7. What is the pricing model: monthly subscription, commission based or a combination of the two?

8. Will the platform scale if I add more properties in the future?

9. How easy is the system to set up and use?

10. What onboarding and customer support are available?

11. Is there a free trial so I can test the system properly?

12. Does the platform distribute listings to Google Vacation Rentals?

Pro tip: Don’t be dazzled by a shiny interface. A platform may look slick, but that doesn’t mean it has the features you need to run your business efficiently. Focus on substance over style.
